Job description

Partnerships Support Coordinator – Office of the Vice President, Strategic Partnerships

Timeframe: May 1, 2024

Location: Bangkok, Thailand   

Supervisor: Vice President, Strategic Partnerships

Mode of engagement: Full time, initial one-year contract with possibility of extension

The Asia Foundation is a nonprofit international development organization committed to improving lives and expanding opportunities across Asia and the Pacific. Informed by decades of experience and deep local expertise, our work across the region is focused on good governance, women’s empowerment and gender equality, inclusive economic growth, environment and climate action, and regional and international relations.

The Foundation is creating a new Strategic Partnerships unit that will lead on institutional partnerships and fundraising. Working closely with the Foundation’s headquarters, 18 country offices, and program teams, this new unit will include a distributed team of staff and consultants working across multiple countries. Over the next year, the Strategic Partnerships unit will focus on development of a new strategy that will guide the Foundation’s efforts in future partnerships, funding models, fundraising priorities, and related analytical needs. The unit will be responsible for coordination and providing analytical inputs for Foundation outreach efforts across dozens of funders and partners, in support of programs across Asia and the Pacific.

The Foundation is looking for a Partnerships Support Coordinator who will support the Vice President in the management of the Strategic Partnerships unit. The Coordinator will be based in Thailand, and will play an important role in supporting Foundation-wide efforts to build and maintain partnerships with governments, foundations, international organizations, private corporations, universities and non-governmental organizations. The Coordinator will engage with units in headquarters and country offices on a daily basis. S/he will communicate directly with external contacts at all levels, and manage the internal workflow, coordination and communication on Strategic Partnerships-led initiatives and functions.

Duties and responsibilities:

  • Support Vice President in overall management of Strategic Partnerships unit, with focus on internal workflow, coordination and communication on Strategic Partnerships-led initiatives and functions.
  • Coordinate scheduling and preparation for internal and external meetings organized by Strategic Partnership unit, including preparation of background briefing notes and presentations, capturing key outcomes from meetings, and follow-up to ensure action items are taken forward.
  • Manage online collaboration platforms that will be used by the Strategic Partnerships unit to facilitate information sharing and strategic communication across the Foundation, particularly through Microsoft Teams and data visualization applications.
  • Coordinate recruitment of consultants for analysis of data and trends in funding, policy, and other relevant areas, as part of the unit’s plan to build capability in data analytics to drive strategy and decision-making.
  • Support Strategic Partnerships team members to generate regular updates on funding and fundraising trends.
  • Coordinate travel and external engagements by the Vice President, particularly meeting schedules and preparation, and coordinating inputs from colleagues across the Foundation.
  • Support the Foundation’s relations with donors and institutional partners by tracking key commitments and milestones, coordinating updates from across the Foundation, facilitating follow-up on key outcomes from meetings, and supporting the Vice President and other senior staff in donor stewardship and relationship management.  
  • Participate in meetings, workshops, and other relevant events as required for the purposes of tracking key market trends and staying engaged with key institutional partners.
  • Explore creative uses of artificial intelligence applications to enhance the workflow and capabilities of the Strategic Partnerships unit.
  • Support the organization of thought leadership and fundraising events as needed.

Requirements

Education

  • Advanced university degree (master’s degree or equivalent) preferred.

Professional experience and competencies

  • Minimum 5 years of work experience in an international organization, donor agency, government, international non-governmental organization, multi-national corporation, or university.
  • Experience in supporting senior executives and/or coordination of widely dispersed teams.
  • Ability to generate clear, attractive presentations and documents intended for high-level contacts.
  • Demonstrated understanding, knowledge and experience with relevant applications, including online collaboration platforms (e.g., Microsoft Teams), presentation and design tools (e.g., Microsoft PowerPoint, Google Slides, and Canva), and data visualization tools would be a strength.
  • Interest in, and familiarity with issues related to international development, foreign policy, geopolitics, regional cooperation, and related issues would be a strength.
  • Proven ability to work effectively in both remote and in-person settings essential.
  • Highly responsive to requests, and result-oriented spirit essential.
  • Demonstrated ability to prioritize and work in a fast-paced environment with tight deadlines, while consistently deliver quality output.
  • Demonstrated ability to build and maintain strong internal and external relationships.

Language

  • Fluency in oral and written communication skills in English.

Other

  • Thai citizenship is required.
  • Willingness and ability to travel in Asia, North America, Australia, and Europe.
