Overview

The position is assigned in the Thailand Resident Mission (TRM) within the Southeast Asia Department (SERD). SERD is responsible for maintaining client relations and delivering ADB investments and technical assistance to countries in the Southeast Asian region. TRM supports country partnership and strategy (CPS), policy dialogue and client relationship, business development, knowledge management, project quality assurance, sector analytic work, and loan and technical assistance processing and administration for select countries in Southeast Asia, based in Thailand.

Job Purpose

The Associate Project Analyst will perform a full range of technical, analytical and coordination work for ADB’s Private Sector Operations Department (PSOD) technical assistance and loan or investment projects in South East Asia, based in Thailand. The tasks will focus on project preparation and administratio, and client management, with a strong emphasis on using ADB’s project management and administration information systems. The position will also support activities relating to project processing medium-term planning, strategy development, and sector diagnostics. The incumbent will report to the TRM PSOD designated International Staff, and interface with other ADB PSOD.

Responsibilities

  • Collects, compiles and analyzes relevant information and data to produce routine and/or ad hoc reports as instructed.
  • Prepares presentations, case studies and project summaries as instructed.
  • Coordinates, collaborates and cooperates internally within PSOD, TRM and other departments; and externally as required.
  • Ensures that all correspondence and documents for supervisors are properly typed, prepared, submitted on time and in compliance with ADB's standards.
  • Ensures all the incoming email is logged, properly distributed and brought to the attention of concerned staff, and that all outgoing mail is delivered on time. Prepares responses for review by supervisor as needed.
  • Ensures all updates and information are timely and properly communicated to the concerned staff and department, including follow up reminders as needed.
  • Provides efficient reception services by proper screening of incoming telephone calls, taking accurate messages, dealing with queries from internal/external callers to ensure they are referred in a timely manner to concerned staff.
  • Leads the scheduling of internal ADB meetings, as well as ADB meetings with external visitors, including all associated arrangement logistics.
  • Correspondence with external parties as needed to support the flow of information, meetings and missions with or by ADB staff.
  • Ensures the effective coordination of supervisors' schedules by maintaining their diaries and arranging appointments, meetings, visas, travel and accommodation as specified by the supervisors and in accordance with ADB procedures.
  • Ensures that the team’s filing systems and records are properly maintained and updated on ADB systems as applicable and in accordance with an existing framework for easy retrieval.
  • Performs any other duties as may be required to execute ADB’s Private Sector operations in the assigned countries, such as retrieving files/documents for preparation of reports, preparing tables and charts for reports, etc.
  • Provides support and coordination of tasks for travel arrangements, meetings, project processing and other administrative assistance needed by the team.

Relevant Experience & Requirements

  • Bachelor's degree in the field of administration, communications or any related field.
  • At least 5 years work experience in one or more of the following: project administration/ coordination, portfolio management, and project processing.
  • Former work experience and established relationships with international organizations or international companies active in Ssstainable Development Goal (SDG) related topics, or with key government agencies or ADB’s clients in Thailand will be an advantage.
  • Strong analytical, problem-solving, and multi-task administration skills including through use of computer-based applications.
  • Ability to conduct research, analyze and check data from external and internal sources, reconcile or explain inconsistencies, develop budgets, data files and powerpoint presentations, and basic financial calculations.
  • Demonstrated proactiveness in learning multilateral organization's procedures and practices related to TA and loan/investment project processing and administration.
  • Excellent spoken and written English capability that needs to be demonstrated through prior sample reports and verbal interview skills.
  • Strong client focus and high level of commitment to results

General Considerations

The selected candidate is appointed for an initial term of 1 year, renewable.
