Position / Job Specification: Events and Partnership Manager

Department: Administration

Position Summary:

Reporting to the Senior Marketing and Communications Manager, the Events and Partnership Manager is a key member of the marketing team, responsible for planning, managing and executing all internal and external school events to agreed standards, timescales and budgets, in addition to nurturing, growing and managing mutually beneficial partnerships with our wider community.

Key Responsibilities: Internal and external events

  • To work with the Senior Management Team, the Senior Marketing and Communications Manager, the Director of Admissions and the Bangkok Director of Marketing to plan and agree the annual calendar of internal and external school events
  • To deliver a range of events using the appropriate medium, which may be face-to-face on or off campus, virtual or hybrid
  • Delivering appropriately targeted and well planned events to a high standard, within deadlines and budget.
  • Ensuring that event costs are planned, negotiated and communicated to the relevant stakeholders, with the budget agreed in good time for all event related costs
  • To manage the day-to-day requirements and logistics related to the school's event programme
  • To ensure that risk assessments and budgets are completed in a timely fashion and provided to the Director of Business Services
  • To liaise effectively with internal service providers – e.g. maintenance, catering, security, reception, etc., providing relevant information and direction as necessary to ensure smooth preparation and operation of all events.
  • To work effectively with the Marketing and Communications Officer to identify and secure cost effective external services, equipment, décor items and marketing collateral
  • To develop the event marketing and communication plans in liaison with key stakeholders and departmental colleagues
  • To work with the Graphics team to develop and create marketing materials including invitations, event collateral and event signage that adhere to the school's brand guidelines
  • To draft and develop content briefs for use in the event campaigns, in liaison with the Associate Marketing Manager – Content.
  • To work closely with Senior Marketing and Communications Manager and Digital Manager to all ensure events are published and promoted appropriately
  • To agree all event objectives and metrics with Riverside Senior Marketing and Communications Manager prior to event and provide post-event review, analysis and feedback
  • To track event registrations and manage attendee lists

Partnership

  • To work with the Marketing and Communications Officer to identify and manage appropriate level of participation required at partnership events by the senior leaders of Shrewsbury International Asia, Riverside and City Campus
  • To manage, nurture and extend the school’s relationships with Chambers of Commerce, local partners (e.g. Educational facilities, British Club etc) and other key stakeholders
  • To manage and maintain dual marketing relationships with partners in Bangkok (e.g. Feeder schools etc) and key community showcases locations (e.g. Icon Siam, Destination Hotels etc).
  • In coordination with Admissions, assist in the development of relationships with relocation companies, corporate HR departments, embassies, property developers and other relevant organisations
  • To identify PR opportunities with partner organisations and collaborate with the relevant colleagues to evaluate and leverage  every opportunity

Presentation

  • To manage the quality of Event site branding and presentation, including the content displayed on site information screens
  • To work with Graphics team and relevant site/academic staff to ensure consistent, on-brand presentation of all areas
  • To create and maintain a schedule of site presentation reviews to ensure general presentation, specific marketing materials and relevant displays are updated and maintained
  • To oversee specification of all branded apparel to ensure compliance with brand guidelines
  • To work closely with Marketing and Communications Officer to ensure cost effective purchase and creation of all presentation and branded materials

Other Responsibilities

  • To undertake and execute ad-hoc tasks and activities as directed by the Riverside Senior Marketing and Communications Manager or the SIA Director of Marketing.
  • Provide professional event management support and co-ordination to the Associate Marketing manager – Events, at Shrewsbury City Campus as and when required
  • Actively seek feedback, undertake reviews and perform evaluations to determine the success of Riverside events and measure the value of partnerships, proposing change and embracing new ideas as appropriate.

Candidate Profile: Skills and Experience

  • Possess at least bachelor degree
  • Extensive professional event management experience
  • Excellent communication skills, with the ability to engage a variety of stakeholders and audiences
  • Confident manner and ability to communicate, influence and motivate others at all levels, both within and external to the school
  • Good understanding of the school's marketing positioning and strengths and those of its competitors
  • Demonstrable project planning and management skills
  • Excellent organisational skills and attention to detail.
  • Strong analytical and problem-solving skills
  • Comfortable working under pressure in a customer-facing role
  • Budget management experience
  • Flexible approach to working hours
  • Experience of managing external suppliers and agencies
  • Possess database, IT and literacy skills
  • Positivity and ability to cope with issues with a calm and measured response
  • Well-developed people skills and the ability to build rapport with all elements of the school community and external stakeholders
  • Ability to manage multiple projects and stakeholders
  • Pro-active, self-starter
  • Team player

Additional skills that would be advantageous

  • Well developed English language skills – verbal and written
  • Ability to communicate in Thai
  • Experience of working in an educational environment
