A large global medical professional organization, based in Sathon, Bangkok, is looking for an Membership and Administrative officer to join its small Secretariat team. Tasks include maintaining a membership database, assisting the Chief Admin Officer and CEO, providing logistics for meetings and assisting with regular publications and updates.

Candidates must possess a passport, and be prepared to travel internationally two or three times each year. Normal working hours are Monday to Friday, but with occasional weekend working (compensated for with days off in lieu).

Job description

Function of the post

The Membership and Administrative Officer provides technical and administrative support to the WONCA Secretariat. Reporting to the Chief Administrative Officer, the Membership and Administrative Officer will undertake the bulk of duties relating to the membership database for Member Organisations, Academic Organisations, Direct Members and Affiliates and will also undertake a wide range of administrative tasks to ensure the smooth running of the WONCA Secretariat.

Duties and responsibilities

• In consultation with the CAO, revise and implement a new membership database for all member groups. Ensure all contact details are up to date and valid.

• Revise, update and maintain the database for WONCA Regional Presidents and for member Organisation representatives –name, address, phone numbers, email addresses

• Maintain updated file records of membership

• Manage the agendas and related papers for WONCA Executive meetings and the WONCA World Council meetings

• Prepare routine and ad hoc reports on membership issues and other administrative issues, as required

• Ensure the WONCA website is regularly updated to reflect events and news, in consultation with the WONCA Editor

• Develop proactive relationships with WONCA members, Member Organisations, Academic members, Direct members and Associate members

• Represent WONCA Secretariat at WONCA world and regional conferences

• Assist the Chief Administrative Officer and Chief Executive Officer in any other membership and administrative duties as required

Qualification

Person specification and qualifications:

• The Membership and Administrative Officer will have an interest in and an expectation to become fully familiar with the goals of the World Organisation of Family Doctors. Previous experience and demonstrable skills of working with membership database is a requirement.

• Good interpersonal skills are required.

• Competence in using the English language as a working language is essential.

• Experience of updating information onto websites is desirable (further training will be provided)

• Strong IT skills, including the full Microsoft Officer package and Adobe photoshop.

• Cultural sensitivity to the wide range of Members worldwide is essential.

• Previous experience of working in international agency or organization would be a strong advantage

The Membership and Administrative Officer must be prepared to undertake periodic international travel on behalf of WONCA Secretariat.
