Job description

The Nutrition section, UNICEF East Asia and Pacific Regional Office is seeking an individual consultant to provide administrative and logistics support to the team for the preparation of workshops and meeting to be held in September – October 2015 in Bangkok, Thailand. The consultant will also assist in the meeting secretariat.

Work Assignment:

In support of the EAPRO Nutrition section workshops, the consultant will undertake the following work assignments:

  • Perform all administrative tasks required for preparation of workshops and meetings, conferences and events, and follow through for processing, completion of activities, management of participation/registration form and follow-up on enquiries and requests during workshops;
    • Keep and update the List of participants and communicate with hotel on numbers of rooms/participants, arrival/departure date and meal arrangement;
    • Serve as a main contact person during workshop for administrative support;
    • Assist in preparation of meeting documents, oversee duplication of all meeting documents, coordinate putting materials in meeting folders and index of contents, USB production process, participant certificates, evaluation forms and administrative tasks as required;
    • Provide secretariat support throughout the meeting;
  • Assist in the process of contracting the hotel, IT vendor and facilitator;
  • Prepare, finalize and circulate admin note;
  • Coordinate with COs and participants for the travel arrangements and other logistics related queries;
  • Assist in the preparation of cost summary after the workshops;
  • Provide support to the facilitator and take photos of the events;
  • Other administrative and secretarial work as required.

 

Work Schedule:

24 Aug - 27 Sep; and 5- 9 Oct:

Workshop preparation (logistics support and coordination with participants, hotels and organizer)

28 Sep – 2 Oct; and 12-16 Oct:

Workshop support (administrative and troubleshooting support)

19-23 Oct:

Post-workshop support (finalize payment and cost summary)

Estimated Duration of Contract: 24 August – 23 October 2015

Qualification

  • University degree in Business Administration, Social Sciences or any related field.
  • Minimum two-year experience in related filed. Experience in event organizing and administrative support desirable.
  • Previous work experience in an international organization, UN or NGO an asset.
  • Fluency in written and spoken Thai and English.
  • Computer proficiency in MS Office, especially in Excel and Powerpoint.
  • Familiarity with UN administrative procedures.
  • Strong coordination, planning and organizational skills.
  • Ability to work in team and co-ordinate assignments.
