Job description

  • Provide secretarial assistance to Head of Sales, Area Sales Managers and Sales Coordinators producing letters, memos, reports, spreadsheets, filing; and general administration for the sales department.
  • Record/input sales releases, reservations, master moves, cancellations, exchanges, hand-overs and update office (wall) charts as appropriate for sales team. 
  • Ensure the sales extraction sheets are completed and kept up to date on a weekly basis.
  • Produce weekly and monthly reports for regional management team, Group and Independent Financial Advisers within required deadlines. 
  • Produce/amend standard forms for use in the office to assist the sales team. Ensure that all documentation in office and copy is up to date.
  • Keep record of stock/order materials and stationeries used by all the sales team (either for meeting, seminar, entertainment and others).
  • Produce and collate all relevant information for inclusion in the Board Report.                                                                                               
  • Assist on departmental structure, notify Sales Manager/Sales Director of new details in website and changes to existing details to update without delay and ensure all information is correct on the internet page on a regular basis                                                                                       
  • Assist sales management with other marketing coordination duties.
  • At all times comply with company policies, procedures and instructions.
  • Contribute to improving the business and enhancing the reputation of the company by putting forward new ideas and by implementing change when requested to do so.

Qualification

  • Candidate must possess at least High School/Diploma/Degree/Master in Administrative, Marketing, Sales or any other equivalent
  • Have at least 2 years working experiences in Sales and Marketing area
  • Have experience working in MNC company will be an advantage
  • Good communication and writing skills in English (French will be advantage)
  • Able to work in team and fast learner.
  • Good in Microsoft Office skills (PowerPoint, Words, Excel, Project and etc.)
